This policy explains how Ronic Communicate for Android and iOS (package and bundle identifier ai.ronic.chat) processes information when you connect to a Ronic CRM workspace. It also describes your choices and how to request deletion.
Ronic Communicate is a business messaging and calling app for staff of existing Ronic workspaces. Your organisation creates and manages your workspace access. There is no account sign-up or purchase inside the app.
Who is responsible
The developer identified on the Ronic Communicate store listing publishes the app under the Ronic name. Ronic operates the app and its supporting services. The organisation controlling your connected workspace determines which staff can access its business records and how those records are used. Information the app processes
- Account and workspace information: staff and workspace identifiers, names, phone numbers used for sign-in, profile information supplied by the workspace, pairing details, device credentials, and access permissions.
- Business communications: messages, replies, internal notes, reactions, delivery and read status, chat preferences, and the photos, videos, voice notes, and documents you choose to send or receive through your workspace.
- CRM records: customer names and contact details, lead information, stages, and activity that your workspace authorises you to view or update.
- Calls: microphone audio when you record a voice note or participate in a call, call participants and status, call history, and call transcripts or recordings made available by the workspace's calling services. AI call features can display transcripts, let you listen or take over, and transfer a call.
- Device and service information: an app-generated device identifier, operating system and app version, notification registration tokens, network connection information, and technical information needed for authentication, syncing, security, and call delivery.
- Support information: any information you send to support. Report a problem prepares a diagnostic report on your phone and opens the system share sheet; it does not automatically send the report. Diagnostic events are filtered to remove message bodies, phone numbers, and email addresses.
The app does not read your phone’s address book, system SMS inbox, system call log, or precise or approximate device location. CRM contact details and messages come from the workspace, rather than from those phone databases. The app contains no third-party advertising and does not use an advertising identifier.
Permissions and your choices
- Camera: used when you scan a workspace pairing QR code or capture media to send. Scanning a QR code does not upload a photograph of the code.
- Microphone: used for voice notes and calls when you choose those features. Listen-only AI call monitoring does not transmit your microphone audio.
- Photos and documents: selected through the system picker. The app accesses the items you choose, rather than requesting access to your entire photo library.
- Notifications and incoming-call presentation: used to alert you about workspace messages and calls. You can control notification permission and preferences in the app and device settings.
- Background audio and foreground services: keep a user-started call or audio playback running and present incoming calls through the operating system's calling interface.
- Biometric authentication: if you enable the app lock, the operating system authenticates you. The app does not receive your fingerprint or face template.
You can revoke optional permissions in device settings. Features requiring those permissions will then be unavailable. You can sign out or ask your administrator to revoke a linked device.
How information is used and shared
We use information to authenticate staff, enforce workspace permissions, display and synchronise conversations, send messages and selected media, operate calling features, deliver notifications, support offline access, diagnose problems, and protect the service. We do not sell personal information or use it for targeted advertising.
- Your organisation and communication recipients: authorised workspace users can access records according to their permissions. Messages, media, and call audio are delivered to the recipients you contact.
- Service providers: hosting, storage, security, notification, messaging, telephony, transcription, and AI providers process information needed to deliver the features your organisation enables. These include Google Firebase Cloud Messaging on Android and Apple Push Notification service on iOS. Messaging and calling providers depend on the workspace's connected services.
- User-directed sharing: exporting a document or sharing a diagnostic report transfers the information you select to the app or recipient you choose.
- Legal and security purposes: information may be disclosed where required by law or reasonably necessary to investigate abuse, protect users and the service, or defend legal rights.
Messages and call information may be processed by your organisation’s connected AI and communication services. This is a workspace communication system; it is not a promise of end-to-end encryption that prevents your organisation or its service providers from accessing business records. Your organisation is responsible for required notices and consent for its communications, call recording, transcription, and AI use.
Storage, security, and retention
The app uses authenticated connections and HTTPS/TLS to communicate with Ronic services. Local messages and CRM records are stored in an encrypted database, with its key protected by the device’s secure storage. Media is cached in app-controlled storage. Access also depends on your organisation’s permissions and the security of your device.
Local retention and media-cache settings limit what remains on the phone. Signing out or processing a device revocation removes the account’s local credentials, database key, and app-managed account data. Files you deliberately export to another location are controlled by that location. Removing the app or clearing its local data does not delete the workspace’s server records or copies held by recipients.
Workspace records are retained according to the organisation’s configuration, service requirements, and applicable legal obligations. Limited information may remain where needed for security, legal compliance, dispute resolution, or backup recovery. No transmission or storage system can be guaranteed completely secure.
Request account or data deletion
To request deletion of your Ronic Communicate account access or personal data, contact your workspace administrator or email sumeet@ronic.ai with the subject Ronic Communicate data deletion. Include your workspace name, the phone number or email associated with your access, and whether you want account access removed, specific data deleted, or both. Do not send passwords, sign-in codes, device credentials, message exports, or call recordings with your request.
We may verify your identity and authority and coordinate with the organisation that controls the workspace records. The request can cover your staff profile, device registrations, and related personal data. Business records may need to be retained by the organisation, and recipients’ copies cannot be removed by uninstalling this app. We will explain any applicable retention limits when responding to the request.
You may also request access, correction, or other privacy rights available under the law that applies to you. Sign out in the app to remove its local account data; server deletion requires a separate request as described here.
International processing and children
Ronic, your organisation, and service providers may process information in countries other than your own. Ronic Communicate is intended for adult business users and is not directed to children under 18. Contact us if you believe a child’s information has been submitted through the app.
Changes and contact
